Terms & Conditions
These Terms and Conditions are effective as of 1st April 2026 and apply to all enrolled students of The Academy Music Centre.
1. General Conduct
1.1 We enforce a strict zero-tolerance policy for discrimination, harassment, or any form of abuse. Such incidents will be addressed with immediate action. 1.2 If you have any concerns, please notify our administration promptly so we can resolve them appropriately.
2. Enrollment and Attendance
2.1 Lessons are scheduled on a weekly basis according to the student’s assigned day and time.
Tuition fees are calculated based on the number of lessons that fall within each calendar month. 2.2 The number of lessons billed each month corresponds to the number of occurrences of the student’s scheduled lesson day within that month. For example, if a month contains five Mondays and the student’s lesson is scheduled on Monday, five lessons will be billed. If a month includes a scheduled school term break or public holiday period resulting in only three Mondays available for lessons, three lessons will be billed for that month.
2.3 Attendance at scheduled lessons is strongly encouraged to ensure consistent progress. If a
student is unable to attend a lesson, the cancellation policies outlined in Section 4 will apply.
2.4 Replacement lessons may be arranged in accordance with the cancellation policies outlined in Section 4 to ensure that the student receives the number of lessons scheduled for that particular month where applicable.
2.5 Students are expected to attend lessons at their assigned time slot. Persistent lateness or repeated absence may affect the ability to arrange replacement lessons.
2.6 Students arriving late may only receive the remaining time of their scheduled lesson to avoid disruption to subsequent classes.
3. Payment Policies
3.1 Tuition fees must be paid in advance according to the selected registration schedule.
3.2 A non-refundable advance fee equal to one month’s tuition is required upon registration. This amount will be applied toward the student’s final month of lessons. If the student withdraws without completing the final month or if the advance fee remains unused after three
(3) months from the date of withdrawal, the advance fee will be forfeited.
3.3 Monthly tuition fees must be settled by the 20th of each month. If fees are overdue by more than one month, the advance fee may be applied to cover the outstanding amount.
3.4 If payments are not made, lessons may be paused until the account is brought up to date. Delayed payments exceeding one month will trigger the use of the advance fee to cover the balance.
3.5 Tuition fees are non-refundable. However, in cases of prolonged illness or exceptional circumstances, students or parents may contact the administration to discuss possible accommodations.
4. Cancellations and Make-up Lessons
4.1 Student Cancellations
4.1.1 If a student cancels a lesson, one replacement lesson may be arranged for the first cancellation within a calendar month, provided that at least twenty-four (24) hours’ notice is given prior to the scheduled lesson.
4.1.2 If a student cancels two or more lessons within the same calendar month, a valid medical certificate issued by a registered medical practitioner will be required for the additional missed lessons to qualify for replacement lessons.
4.1.3 Any approved replacement lessons must be completed within three (3) months from the date of the missed lesson. Replacement lessons not completed within this period will be forfeited.
4.1.4 In circumstances where a replacement lesson cannot be scheduled within the three-month period due to studio or teacher availability, The Academy Music Centre may extend the replacement period to a maximum of four (4) months, at its sole discretion and on a case-by-case basis.
4.1.5 Replacement lessons are subject to teacher and studio availability and may be conducted by a different teacher if necessary. Replacement lessons cannot be guaranteed with the student’s regular teacher or at the student’s usual lesson time.
4.1.6 Students who pause lessons for more than one (1) month will be removed from the active schedule, and their reserved time slot may be allocated to other students. Upon returning, the student may arrange a new available time slot. Exceptions may be considered on a case-by-case basis.
4.1.7 Trial classes are complimentary. One rescheduling of a trial class is permitted at no charge. Any additional rescheduling will incur a RM 50 administrative fee.
4.1.8 Replacement lessons that are missed or cancelled will be considered completed and will not be eligible for further replacement.
4.2 Teacher Cancellations
4.2.1 If a teacher needs to cancel a scheduled lesson, The Academy Music Centre will make reasonable efforts to arrange a substitute teacher so that the lesson may proceed as scheduled. 4.2.2 If a substitute teacher cannot be arranged, the lesson will be considered cancelled by the school, and the lesson fee will be prorated based on the total number of scheduled lessons for that month. The adjustment will be reflected in the next billing cycle.
4.2.3 Alternatively, if the student prefers to reschedule the cancelled lesson to another day instead of receiving a prorated adjustment, a replacement lesson may be arranged subject to teacher and studio availability. The decision to accept or decline the rescheduled lesson will be at the student’s discretion.
4.3 Teacher Substitution and Lesson Continuity
4.3.1 The Academy Music Centre reserves the right to assign a replacement or substitute teacher when necessary to ensure continuity of lessons. This may occur in situations including, but not limited to, teacher illness, scheduling conflicts, leave of absence, or staff changes.
4.3.2 All teachers engaged by The Academy Music Centre are qualified and selected according to the centre’s teaching standards. Lessons conducted by substitute teachers will follow the student’s existing learning plan and curriculum where applicable.
4.3.3 In the event that a teacher becomes permanently unavailable due to resignation, extended leave, or other unforeseen circumstances, The Academy Music Centre will assign a suitable replacement teacher to continue the student’s lessons.
4.3.4 Teacher substitutions or changes do not constitute grounds for refunds, fee adjustments, or termination of the Terms and Conditions, provided that lessons continue to be delivered by a qualified teacher.
5. Replacement Lessons and Withdrawal
5.1 Replacement lessons are intended to accommodate occasional absences and are not transferable, refundable, or redeemable for cash.
5.2 Replacement lessons must be completed while the student remains actively enrolled at The Academy Music Centre.
5.3 If a student chooses to discontinue lessons, any unused replacement lessons will be forfeited upon the student’s final lesson date, unless otherwise determined by The Academy Music Centre at its sole discretion.
5.4 Replacement lessons cannot be accumulated or scheduled after a student has formally withdrawn from lessons.
5.5 Replacement lessons are subject to teacher and studio availability and cannot be guaranteed at specific dates or times requested by the student.
6. Code of Safety
6.1 Your safety is our top priority. Report any safety concerns immediately.
6.2 Students must adhere to all safety instructions provided by teachers and staff.
6.3 Parents or guardians must supervise young children when they are outside of lesson time.
6.4 While The Academy Music Centre takes reasonable steps to maintain a safe environment, the centre shall not be held liable for injuries sustained on the premises except where such injury is caused by proven negligence of the centre or its staff.
7. Privacy and Data Protection
7.1 The Academy Music Centre collects personal information during registration and enrollment, including but not limited to the student’s name, contact details, identification information, and any relevant medical or educational information necessary for lesson administration.
7.2 Personal information collected will be used solely for purposes related to the administration and operation of The Academy Music Centre, including student enrollment, lesson scheduling, billing, communication with parents or guardians, and academic progress monitoring.
7.3 By enrolling in lessons, students or their parents/guardians consent to the collection, processing, and use of personal data in accordance with Malaysia’s Personal Data Protection Act 2010 (PDPA).
7.4 Personal data will not be disclosed to third parties without prior consent, except where such disclosure is necessary for administrative purposes, required by law, or required to comply with legal or regulatory obligations.
7.5 The Academy Music Centre will take reasonable steps to ensure that personal data is securely stored and protected against unauthorized access, misuse, modification, or disclosure.
7.6 Personal data will be retained only for as long as necessary to fulfill the purposes for which it was collected or to comply with legal, administrative, or operational requirements.
7.7 Students or parents/guardians may request access to or correction of their personal information held by The Academy Music Centre by submitting a written request to the administration.
7.8 Photographs, audio recordings, or video recordings taken during lessons, performances, or school events may be used for internal documentation, educational purposes, or promotional materials such as social media, websites, or marketing publications. If a student or parent/guardian prefers not to be included in such materials, they may inform the administration in writing.
8. Property and Equipment
8.1 Please handle the school’s property and equipment responsibly. Damage caused by misuse may result in repair or replacement charges. 8.2 The Academy Music Centre is not responsible for lost or damaged personal belongings.
9. Amendments
9.1 We may revise these Terms and Conditions from time to time. Changes will be communicated in writing. 9.2 Continuation of enrollment implies acceptance of the revised terms.
10. Governing Law
10.1 These Terms and Conditions are governed by the laws of Malaysia.
